Brasia Genealogy, a company registered in the Commercial Register of the Netherlands Chamber of Commerce, registration# 17181544, located at Braspenninglaan 123, 5237 NS, ‘s-Hertogenbosch, The Netherlands (“Brasia”), fully understands the importance of protecting and safeguarding your privacy when you visit our website or contact us using other channels. Therefore we do not process more personal data than strictly required by the purpose for which the data was collected, we do not share your data with third parties without consent, and we have implemented a variety of technical and organisational measures to prevent any loss, unauthorized access to, any misuse or theft of your data. Your continued use of our website will mean that you accept the policies described in this Privacy Statement.
Legal Framework
Brasia collects and uses identifiable personal data (“Personal Data”) in accordance with the General Data Protection Regulation (“GDPR”), in the Netherlands also known as the Algemene Verordening Gegevensbescherming (“AVG”), which came into force on May 25, 2018 and applies to the entire European Union.
Collection and Use of Your Personal Data
Brasia collects and processes only Personal Data you voluntarily submit to us by completing the form on our website, sending emails, calling us, or using other means of communication, for one or more of the following purposes to be served:
- to answer your questions and respond to your requests for information;
- to carry out our core business processes, including
- drafting of proposals
- execution of agreed assignments
- delivery of services and products
- invoicing of delivered or to be delivered services and products;
- to update you by email on changes in our services and product portfolio;
- to execute our administrative and other back-office processes;
- to fulfil our legal obligations.
The data collected typically include First and Last Name, Email Address, Postal Address, Phone Number, Bank Account (Clients only), Company Name and VAT number (Corporate clients only) and IP Address.
Brasia does not share your personal data with third parties, except in and restricted to the following situations:
- on your own request (see Rights);
- for the successful execution and mutual completion of an agreed assignment sharing is required;
- for execution of our financial administration sharing is required . This back-office process is outsourced to a professional accountancy agency. A Data Protection Agreement (“DPA”) is put in place to guarantee the privacy of your data while processed by this agency;
- to fulfil legal obligations sharing is required.
Collection and Use of Research Data
Within the context of an agreed assignment, Brasia only works with research data relating to deceased persons. We explicitly do not conduct research on living persons or people who could still be alive.
Retention period
We store your personal data for as long as justified for the purpose they were collected for or as long as it is required by law. Personal data of (potential) clients will be deleted after seven years in compliance with Dutch Tax laws. Personal data of all other business contacts will be deleted after a standard retention period of two years after our last contact, unless you agree to a shorter period (see Rights).
Rights
As stated in the GDPR you have the right to access, review, rectify and complement your personal data or have them erased. You may also restrict processing of your data, transferring them to a third party, or changing or withdrawing a previously granted permission for use. In case one of these circumstances applies, you may request to change your data (see Contacts). We will process your request within 4 weeks’ time. If you have any concerns about the way your data is being handled, you have the right to register a complaint at the Dutch supervisory authority for GDPR.
Collection and Use of Technical Data
Cookies
Brasia uses only technical, functional and analytical cookies on its website that do not violate your privacy. A cookie is a small text file that is placed onto your pc, laptop, tablet or smartphone during your first visit of our website. These cookies make the website work properly and help us improve and optimise it. Furthermore, we use cookies to collect statistical data in order to tailor its contents to the origin and interests of the visitors. All data collected is being aggregated and cannot be traced to individual people.
